Start with the responsibilities that cannot wait

Look at an ordinary week and note the tasks that depend on you. Separate essential daily care from errands that could be postponed. You do not need a detailed household manual; focus on what another person would need to know to help reliably.

  • Children or dependants: Who will provide care, handle school or daycare pickups and manage existing appointments? Confirm any pickup permissions with the school or service.
  • Someone you support: If you regularly help another adult, speak with them and their existing support providers about what cover is needed.
  • Pets: Agree who will feed, walk or care for them and how that person can contact their vet if needed.
  • The home: Consider keys, deliveries, bins, necessary maintenance and checking the property.
  • Scheduled commitments: Identify bills, appointments and bookings that need attention while you are away.

Tell admissions if a practical responsibility is making it hard to plan a stay. Ask what needs confirming before arrival rather than postponing the first conversation.

Give each essential task an agreed helper and a backup

A name on a list is useful only when that person has agreed. Check what they can realistically cover and when. A neighbour who can collect a parcel may not be able to take on daily care.

Copy these five lines for each responsibility:

  • Task: What needs doing, and how often?
  • Agreed helper: Who has said yes?
  • When: Which dates or times are covered?
  • Practical details: What contact number or access arrangement is needed?
  • Backup: Who can help if the first person becomes unavailable?

For example: “Dog walks — Alex has agreed to morning and evening walks for the confirmed dates; Jordan is the backup.” Use names and arrangements that apply to your own situation. For bill payments, check due dates and arrangements directly with the provider; do not put banking passwords into a shared handover note.

Separate household coordination from care updates

If you have several helpers, consider asking one willing person to coordinate household questions. Decide which routine issues they can settle and which need your input. Share only the practical details each helper needs.

Discuss contact arrangements with the centre separately. Ask how calls and messages work during the stay and how you can identify anyone you want involved in conversations about your care. Helping with the house and receiving clinical updates are different roles; ask the team how permission is recorded.

Do not build the household plan around an assumption that you will be available on your phone throughout the day. Confirm the centre’s current arrangements first.

If there is a gap in the help available

You may not have a friend or relative who can cover everything. 211 Ontario connects people with social services and community programs. Its directory includes family services, food, housing and older-adult supports. You can call 211 or search using the location where help is needed.

Describe the practical gap, such as needing information about support for someone you normally assist. Ask the individual service about eligibility, costs and availability. A directory listing does not confirm that replacement care has been arranged.

Review the plan once admission arrangements are confirmed

Check the agreed dates with helpers after speaking with admissions. Choose a point to review the arrangements if the expected time away changes. Avoid promising a fixed return date before it has been discussed with the team.

Keep the household note separate from your packing list. Request the centre’s approved packing instructions rather than treating this checklist as a list of permitted belongings.
